Best Email-to-Task Apps for Android: Gmail, Todoist and FoneClaw

Compare Gmail Add to Tasks, Todoist forwarding and FoneClaw personal To-Dos. Choose by task destination, source reference, date handling and privacy.

Conceptual Android email flowing into a saved personal task with a checked date and source reference
📋 Key Takeaways
  • Choose Gmail Add to Tasks for a simple personal task from Gmail, Todoist for email-to-project forwarding, or FoneClaw for reviewing selected text before explicitly saving a personal To-Do.
  • Todoist ordinary forwarding works on Beginner, Pro and Business. Optional AI Email Assist requires Pro or Business and is not included in Pro Legacy.
  • Check the latest email request, deadline and time zone before saving. Preserve a recoverable source reference, and leave genuinely undated tasks without an invented deadline.
  • A generated task suggestion is not a saved task. Reopen the destination and verify the title, date and source before retrying, forwarding again or relying on a reminder.

Choose by Task Destination and Email Source

The best email-to-task apps for Android are the ones that put an actionable item where you will actually review it. Start with the destination: Google Tasks, a Todoist project or your FoneClaw personal To-Do Center. Then check how the email reaches that destination and what happens to its date and source.

This shortlist compares documented setup routes, not measured speed or task-extraction quality. They are three different workflows, not three equivalent native email integrations.

The goal is a persistent task with a clear action, correct timing and a recoverable source. Summarizing the email or drafting a reply does not establish any of those results.

Create a Personal Task From Gmail on Android

Gmail is the direct choice when the request is already in Gmail and you want a personal Google Tasks item. Google's Android instructions for creating a task from email describe this route:

  1. Open Gmail on your Android phone or tablet.
  2. Open the email containing the request.
  3. Tap More options at the top right, then Add to Tasks.
  4. Review the resulting task and add details such as a date and time where needed.
  5. Use the Google Tasks app to manage the saved item, checking that you are in the intended account.

This is ordinary native task creation, not necessarily a Gemini or AI workflow. It suits a straightforward request that you can turn into an action yourself: 'Review workshop agenda' is more useful than an unchanged subject such as 'A few things before Friday.'

Inspect whatever email reference the saved task provides on your device. Do not assume every client will reopen the source identically. If the reference is missing or unusable, retain enough nonsensitive identifying information to find the message again: subject, sender and message date. Reopening that source is especially important when a thread contains several revisions.

If Add to Tasks is absent, check the Gmail app version and account rather than following an invented alternative menu. The manual fallback is to create the item in Google Tasks and include a source reference yourself.

Still looking for the correct message? Gmail Live on Android: Voice Search and Email Follow-Up covers locating the source before you turn it into a task. Creating from the wrong message can preserve an obsolete deadline just as neatly as the correct one.

Forward to Todoist: New Task or Existing Comment

Choose Todoist when the destination project matters and forwarding the email is acceptable. Its official email-forwarding guide distinguishes ordinary forwarding from optional AI processing.

On Android, open a project or Inbox, tap the three-dot menu, select Email tasks to this project and tap Copy email. Forward the message to that unique address. Ordinary forwarding is available on Beginner, Pro and Business. The subject becomes the task name, and the email body is added as an attachment in a comment. You cannot forward directly to a project section.

For a later reply about an existing task, open that task instead. Use its three-dot menu, choose Email to this task and copy that address. Forwarding there adds a comment rather than creating another task. Keep these unique addresses private.

Email Assist is the separate AI option. It reads forwarded content, extracts date and time information and rewrites the task title. It requires Pro or Business and is not included in Pro Legacy. On Android, its toggle is under the project menu's Email tasks to this project screen. Ordinary forwarding remains usable without it; a date mentioned in prose is not automatically extracted by default.

Without Email Assist, you can set the date afterward or use supported syntax such as <date tomorrow>. The literal word date is required. For important deadlines, an explicit date checked in the saved task is less ambiguous than a relative expression. With or without AI, verify the title, latest deadline and time zone against the email.

Turn Selected Email Text Into a Verified FoneClaw To-Do

Our route is useful when an email needs interpretation before you decide what to save. You supply selected, verified text; FoneClaw helps extract the personal action; you then explicitly request creation. This is not a native Gmail, Google Tasks or Todoist connector.

  1. Open your email yourself and identify the latest relevant request.
  2. Supply only the necessary nonsensitive text through a supported input route, with a subject and message-date reference.
  3. Ask FoneClaw to propose one personal task, identify any definite deadline and flag uncertainty without saving yet.
  4. Compare that proposal with the original email.
  5. Explicitly request creation after confirming the action and timing.
  6. Reopen the personal To-Do Center and verify the saved item.

For example: 'From this selected text, propose my personal follow-up and identify any confirmed deadline. Do not create anything yet.' After review, a separate request can say: 'Create the personal To-Do using this confirmed title and source reference. There is no due date; keep it Unscheduled.'

Our configured model interprets and plans the request. Enabled tools execute supported actions under actual permissions and the active approval policy; not every action always prompts. A model's proposed wording is not evidence that a persistent record exists.

Definite source dates and times should be preserved correctly. Vague wording such as 'when convenient' stays Unscheduled rather than becoming today. Android AI To-Do Without a Due Date: Save It Safely explains that boundary.

This workflow does not scan your entire inbox, parse attachments or depend on a universal Gmail share target. Any available captured mail records are not a live inbox. A saved personal To-Do also does not assign another person work, send a reply or create a clock alarm.

Compare the Routes With One Fictional Email

Use a dummy email for this proposed worksheet, not confidential correspondence. It is a way to evaluate the supported routes yourself, not a report of tests we performed.

Give the message the subject 'Workshop agenda review' and a fictional sender, Morgan. The latest text says: 'Please review the workshop agenda by October 23, 2026 at 15:00, my local time.' Beneath it, include an older quoted request with an October 21 deadline.

Before saving, establish which request is current. 'My local time' is incomplete if you do not know Morgan's time zone; clarify it rather than inferring it from your own phone. The task should represent your action to review the agenda, not every activity mentioned in the thread.

CheckObservable acceptance condition
ActionThe saved title clearly says to review the workshop agenda.
DeadlineThe latest October 23 request is used, not the quoted October 21 date.
TimeThe intended 15:00 deadline is understood in the confirmed time zone.
SourceYou can recover the email through its available reference or identifying details.
PersistenceThe task exists after leaving the creation screen and reopening its destination.

Save once per route and inspect the actual record. In Gmail, review your task details; in Todoist, compare manual or Email Assist results; in FoneClaw, distinguish the proposal from the explicitly created To-Do.

Then use a separate version saying only 'Please review the agenda when convenient,' with no deadline elsewhere in the supplied material. It should remain undated unless you deliberately choose a date. Stop and correct any invented deadline before relying on the task.

Fix Wrong Dates, Missing Tasks and Duplicates

Search the destination before repeating a creation request. A task can exist in another account or project, and a later email can belong as a comment rather than a new task. Repeated forwarding is not a reliable delivery check.

A saved date does not guarantee a push alert or alarm. Notification permissions, reminder settings and applicable plan entitlements are separate from task persistence. Verify the reminder behavior you actually need rather than treating a dated task as proof it will interrupt you at the right moment.

Choose an Acceptable Data Handoff

The routes move different amounts of information. Gmail creates a task within Google's task workflow. Todoist forwarding transfers the message you send, including content that may be irrelevant to the action. FoneClaw's selected-text route lets you supply a narrower excerpt, but a configured online model may require that content to be transferred for processing. Selected input is not a promise of entirely on-device processing.

Before forwarding or supplying text, review quoted history, signatures, recipient details and other unnecessary personal information. Do not send private or confidential correspondence to another service unless you are authorized and comfortable with that service's handling of it. Use fictional material for an initial comparison, and protect Todoist's unique forwarding addresses.

Choose Gmail when the email is already there and you want a straightforward personal Google Task. Choose Todoist when project organization and attaching email updates to existing tasks matter. Choose FoneClaw when you want to review a language-based extraction before explicitly saving a personal To-Do. Our FoneClaw Features page explains the separate phone-side capabilities without implying a native email integration.

Availability still depends on the service, region, account and any organizational restrictions. Check those conditions directly, particularly where international services have limited availability; do not assume a documented route works in every market.

If your actual need is summarizing or drafting rather than saving a task, AI Email Assistant on Android: Summarize, Draft, Send, and Follow Up covers that broader workflow. For this decision, finish with three concrete checks: the task is saved, its timing is correct and its source can be recovered.
